JOB DESCRIPTION
Summary
An assistant finance manager is a responsible officer in the organisation whose main duties will comprise of assisting the finance manager in tasks like attending to the day-to-day financial operations within the company (requests for purchase orders, issuing payments, billing invoices, making budgets), corporate finance, human resource and admin matters etc. in the interest of the organisation.
Responsibilities
- Responsible for the overall activities and functions of the finance department.
- Prepare and be responsible for group consolidation of accounts.
- Handle and prepare the Financial (monthly/quarterly reports and audited financial statements, annual report) and Management Reporting weekly/monthly/quarterly reports) matters and to ensure that required submissions to the Finance Manager are accurate, complete and timely.
- Active month-end close involvement and monthly operations financial review etc to ensure books closure are timely and accurate with robust analytics performed, providing an accurate outlook to management on coming months' financial performance
- Interface and ensure reporting for site results (Actual and Forecast) are accurate, with a good business understanding of fluctuations against forecast, budget, prior month and prior year.
- Financial compliance and P&Ls governance for effective analysis.
- Drive the budget exercise (cash flow, income statement, balance sheet), participate in continuous automation for current processes and management reports, identify and implement improved ways of working.
- Ensure that all cash flow is properly administered and monitored.
- Ensure that appropriate financial regulations and controls are in place and in use at all times.
- Checking and verifying all the financial statement and any reports pertaining to ensure the accuracy of the report.
- Prepare and ensure all journal entries are completely, properly capture and updated.
- Monitoring Debtors Ledger, Creditors Ledger and General Ledger to ensure all properly capture.
- Preparation and ensure the stock take carried out accordingly (monthly and financial year-end).
- Assist in maintaining and control fixed assets records and ledgers.
- Interact with financial staff and ensure the audit worksheets are maintained every month/year.
- Liaise with external professional parties, i.e investment bankers, auditors, tax agents, company secretary and other statutory bodies to ensure compliance with matters relating to audit, tax and statutory requirements.
- Audit (external and internal) – working with both internal and external auditors to ensure controls are effective and produced reports are accurate
- Tax - working with tax consultants for the submission, filling and tax computation.
- Work closely with company secretary on announcements and statutory matters
- Draft and vet legal agreements/ contracts to be entered by the Group of Companies
- Assist in coordinating and managing all corporate exercises to be undertaken by the Group of the Companies (i.e Disposal, Acquisition, Joint Venture, Rights Issue, etc) and be part of the due diligence team for corporate exercises.
- Analyse and evaluate relevant reports and financial performance in relation to corporate exercise.
- Handle human resource and admin matters.
- Handle day-to-day job performance of the staff members.
- Ensure compliance with accounting policies, relevant authorities, regulations and guidelines or legal requirements (Bursa Listing Requirements, Company Act 2016, SSM) at all times.
- To provide support to the team whenever required to ensure mandates are executed efficiently, to ensure to meet deadlines through the staffs.
- Provide solutions on risk management.
- The main responsibility would be to assist the finance manager to achieve the Group objectives and mission.
- Coordinate corporate events, i.e EGM, AGM, signing ceremony, press conference etc.
- Undertake other duties as directed by Executive Directors and Finance Manager.
- A Degree in Accounting or Finance. Professional qualifications such as ACCA or MIA will be an added advantage.
- Minimum 5 years of relevant experience.
